Job Description:

A secretary in a school provides clerical and administrative support, either as a team or individually. They are also often responsible for specific projects, as well as co-coordinating and implementing office procedures. A school secretary must have a pleasant personality as they frequently deal with parents and the general public in addition to students in the school. They must be willing to undertake tasks as assigned by senior administrators and to learn automated systems or office software deemed necessary by the Principal or Assistant Principal. Secretaries should have a high level of competency in general word processing and computer use.

Reports to: A designated member of the Senior Leadership Team (SLT)
Responsible for: General and ascribed tasks from members of the SLT

The role of the school secretary is as follows:

  • using a variety of software packages to produce correspondence and documents, and maintain presentations, spreadsheets and databases as ascribed by the SLT;
  • devising and maintaining office systems;
  • dealing with telephone calls when required and email enquiries;
  • dealing with parent and student enquiries when required;
  • arranging meetings, taking minutes and keeping notes;
  • organizing, filing paperwork, documents and computer-based information;
  • producing letters as directed by SMC members;
  • keeping informed about new office computer software and databases;
  • liaising with members of staff in other departments or external contacts;
  • dealing with incoming and outgoing school mail as directed;
  • handling travel arrangements as directed;
  • performing internet research;
  • distributing information using the school’s portal;
  • other duties as directed by members of the SLT from time to time.
